How email works

ShootCal sends client emails through its own email delivery. You do not need a Google or Microsoft calendar connection to send booking confirmations, invoice notices, contracts, or session reminders. Your studio branding and the message you choose help clients recognize the email.

Choose your business email

Use an account email you can receive messages at and keep your studio name and contact details current. Your sign-in email, calendar connection, and email delivery are separate. Connecting a calendar does not switch the sender to that provider's mailbox.

Client messages and notifications

Client-facing emails include booking confirmations, replies you send from a request, invoice notices, contract signing links, and enabled session reminders. Owner notifications tell you about new requests, signed contracts, and confirmed card payments. Check the relevant record in ShootCal for its current status.

Some older Google accounts may retain a Gmail sending connection. Follow the sending option shown for the record; calendar sync alone does not grant Gmail access or guarantee that a message will use Gmail.

Replying to a booking request

You can answer from the booking request in ShootCal. Where a request notification provides a reply address, replying from your account email can route your response back to the request and client. Keep the notification's reply address intact. If a reply cannot be sent, the request should remain available for follow-up rather than looking answered.

Sending status and delivery

A successful send means the sending service accepted the message. It does not prove that the client received it in their inbox, read it, or followed the link. A receiving service can delay it or place it in Junk. Ask the client to check those folders and confirm their address before sending again.

If ShootCal reports a send failure or an uncertain result, review that status before retrying. An uncertain result may already have sent; retrying through another method can produce a duplicate. Do not assume that a saved invoice or contract has been emailed simply because the record exists.

Reminders and receipts

Enable client reminders in the session-type settings on the web and review their wording and timing. A reminder needs a valid client email. Card-payment notices depend on payment confirmation from Stripe; the payment record and the email's delivery status are separate.

ShootCal's email feature is not a general mailbox. Continue using your normal email application for correspondence outside the supported booking reply workflow.
