When to use accounting software
ShootCal now handles its own client invoicing and payment history. There is no automatic connection or sync with Wave, QuickBooks, or another bookkeeping system. Use ShootCal for the photography job, then move or summarize records elsewhere only when your accounting workflow needs it.
When ShootCal may be enough
Professional invoices are included with ShootCal at no extra cost. For each job, ShootCal can:
- create one full-job invoice with an optional deposit;
- add products or services and reuse saved packages;
- apply one saved sales-tax rate to the full invoice;
- accept Stripe card payments through your connected account or record Zelle, Cash App, Venmo, check, cash, and custom manual methods;
- track payments and partial or full refunds or reversals;
- update the deposit flag on one exactly linked booking;
- show cash-basis income, refunds, sales tax, outstanding balances, and month and payment-method breakdowns; and
- download cash-received and invoice-list CSV exports for accounting or tax work.
ShootCal adds no payment or platform fee to Stripe invoice payments. Stripe’s standard processing fees still apply.
When to use Wave, QuickBooks, or another accounting system
Use full bookkeeping software when you need expense tracking, bank or credit-card reconciliation, profit-and-loss and balance-sheet reporting, payroll, inventory, multi-currency accounting, formal accounts receivable, or an accountant-managed general ledger. These are intentionally outside ShootCal’s invoice workflow.
ShootCal does not connect to, import from, or sync with Wave or QuickBooks. Download the CSV reports from Payments › Reports when you or your accountant need ShootCal transaction records as part of a larger accounting or tax workflow.
Sales tax and tax work
ShootCal can calculate and report the sales tax rate you choose for an invoice, but it does not decide what is taxable, register your business, file returns, or remit tax. Use your accounting system and a qualified tax professional when your obligations are more complex.
