Questionnaires are reusable web forms for wedding details, shot lists, family information, or anything you need before a session. Build and manage them in Clients & Booking → Forms in the web app.
Build a form #
- Choose New questionnaire and give the form a clear internal name.
- Write the email message that accompanies its link.
- Add long-text, multiple-choice, or checkbox questions.
- Add optional placeholder examples and mark only truly required questions as required.
- Save the template. Editing the template later does not rewrite forms already sent.
Send it #
Open a saved questionnaire and choose Send to a client. Add the client email to send through your connected Gmail, or leave it blank to create a link you can copy yourself. Each send gets its own hard-to-guess public link and a snapshot of the questions as they existed when sent.
Attach a form to a session type #
In Session Types, attach a questionnaire to the relevant type. ShootCal can automatically send that form when the booking’s deposit is marked received. The event id is used to prevent the same form from being auto-sent twice. Apple apps show which form is attached and link to the web editor when you need to change it.
Client experience and responses #
Clients open the link on any device, answer the form, and submit without creating an account. In Forms, Sent & responses shows whether a form is still waiting or completed and displays each answer. Deleting a template does not remove the independent copy already sent; deleting a sent form removes that response record and its answers.
Safe retries #
ShootCal retains interrupted template creates and sends. Recover the retained operation instead of starting over, and check Gmail Sent before discarding an uncertain delivery. This avoids duplicate forms or duplicate client emails.
